Records Management Programme

Our University-widr Records and Inforamation Management Programme (RIM) aims  for:

  • managing information assets (records, documents, data, etc.);

  • ensuring assets are managed effectively throughout their records life cycle (from creation to disposition);

  • assisting records creators with locating and retrieving the required information in a timely manner.

  • preserving vital institutional records for protecting the University and its people from reputational and legal disputes.

Benefits of an effective RIM:

  • Legal – to ensure compliance with legislative and regulatory requirements, and hence minimizing risks in litigations;

  • Operation – to provide accurate and reliable information for decision making, and to enhance accountability and credibility of an organization;

  • Finance –  to reduce operating costs, and save space;

  • History –  to identify and preserve records with institutional, information, evidential, sentimental and research values

Under the purview of University Archives, the RIM is committed to the provision of support, guidance, resources and advocacy to assist Faculties and department in managing effectively records in their control, and to promote good information practice across the University.

The University Archives has developed and implemented records management tools including a University wide Records Classification Plan and Retention Schedules, records management policies, guidelines and procedures, in support of the all University's daily business.  We also provide advice on records management issues, such as information security, access and privacy, electronic document management, email management, etc., and offer in-house staff training on basic records management principles.
