Collection Policy

The University Archives (HKUA) of the University of Hong Kong is the final official repository for all records of enduring value to the University.

Selection, Collection and Retention of University Records

  The University Archives is engaged in collecting all sorts of evidence of the life of HKU and its Alumni and is, particularly seeking to acquire materials which are of historic interests but in danger of neglect or destruction. To this end we ask you NOT to dispose of or any records in your Faculties, Departments, colleges, or research centres without communicating with the University Archives. All records pre-dating 2004 should be immediately reviewed and appraised by the University Archives for permanent retention, including:

  • HKU Administrative records of all kinds;

  • Teaching materials and personal papers created by Professoriates during their employment;

  • Agendas and minutes of Faculties and their subcommittees such as curriculum or degree requirement committees;

  • Agendas and minutes of the governing bodies of the University including the Court, the Council and the Senate and all their subcommittees;

  • Correspondence of Heads of Departments, Faculties and Research Centres, Deans, and of the Vice Chancellor’s, Deputy Vice Chancellor’s, and Pro Vice Chancellor’s offices, as well as that of the Heads of the Registry, the Estates Office, and the Finance Office, Chief Information Officer and the University Librarian’s Office;

  • Subject Files from the offices just listed above;

  • University Publications, from every Department and Office and Faculty, this includes booklets, brochures, catalogues, newsletters, policy statements and media releases, including obituaries;

  • Photographs of University Events, Buildings, People, or Grounds, both prints and digital copies accepted, as well as negatives or slides;

  • Audio Recordings of University Events or Lectures in any format, although we would prefer something non-proprietary if we can get it since this makes migrating and translating the data possible for preservation;

  • Film recordings and video, both analogue and digital, of University Events, Buildings, People, or Grounds;

  • Original theses and dissertations of University Students and Alumni;

  • Records of Student Groups sponsored, or not, by the Student Union;

  • Agendas and Minutes of the Student Union, including those of its sub committees;

  • Memorabilia, Artifacts, Letters, Photographs, Diaries, Email, Blogs, Web Pages and social media produced by the University;

  • Architectural Records, including blueprints and elevations, both hard copy and CAD records will be accepted;

  • Grounds Records (Campus) including records of trees, statues, and ornamental features for examples the Lily Pond, Sun Yat Sen Steps and Pokfield Campus etc, regardless of formats

 

Donation

  We welcome donations of any personal papers and manuscripts produced and originated by our Senior Management Team (SMT) staff members, professoriates and alumni. Personal papers and unpublished manuscripts as well as teaching and research collections reflecting on your works and lives at the University are most sought. Please contact hkua@hku.hk / giving to the archives for any legal, access and embargo issues.

 

  We accept all convertible formats of records produced by the University as they capture and represent different functions within the University during their daily business, from papers to objects, and from physical to digital. We operate a mixed archives repository including:

  • Papers

  • Paintings

  • Ceremonial objects

  • Textile

  • Photographs

  • Gold, Silver, Bronze, Stone

  • Statues

  • CD, DVD, VHS, Cassettes Tapes, Microforms

Legalities of our records creation at the University of Hong Kong

  Records created in the course of carrying out the University’s business, i.e., administrative records and publications of Faculties, Departments, colleges, or research centres, are considered to be work for hire and therefore the copyright and physical rights to those records belong to the University of Hong Kong and may not be removed from the University by any individual. The records belong to the department or office, not the person employed in that department or office.

 

  However, the research and resulting writings of all students and faculties are considered to be the property of the authors and as such they may agree to give and donate a copy to the University Archives but that is entirely their decision. The University Archives will be pleased to accept the personal papers of distinguished faculty members and alumni and encourages you to think of us when planning for your estate.
